As a Documents Specialist, you’ll be the go-to person for ensuring accurate and timely management of all project-related documents on our right-of-way acquisition projects.
REPORTS TO: Project Manager and/or Project Supervisor.
KEY RESPONSIBILITY AREAS:
- Document Management: Your superpower will be organizing and managing all project-related documents, making sure they’re in order, easily accessible, and well-organized. Think right of way agreements, title documents, deeds, easements, permits surveys, and all that good stuff!
- Document Review: You’ll put your keen eye on detail to work by reviewing legal and real estate documents. Accuracy, completeness, and compliance with our policies and project requirements will be your top priorities.
- Data Entry: Get ready to dive into data entry mode! You’ll be responsible for entering and maintaining project-related data in our designated software systems. Accuracy and attention to detail will be essential here.
- Quality Assurance: Regular quality checks will be part of your routine to ensure the integrity and consistency of document data and information. You’re the gatekeeper of high-quality documents!
- Document Preparation: Time to unleash your creative side! You’ll be responsible for preparing, formatting, and editing various documents like letters, reports, easements and forms using software like Microsoft Office 365 and Adobe Pro.
- Communication: Collaboration is the name of the game. You’ll work closely with our internal team members, and field right of way agents. Gathering and exchanging information, resolving document-related issues, and providing updates will be part of your communication wizardry.
- Compliance and Record Keeping: Following the rules is important. You’ll ensure that all document management processes adhere to our company and client’s policies, procedures, and regulatory requirements. Plus, you’ll handle record keeping and confidentiality with utmost care.
- Research and Analysis: Get ready to unleash your research and analysis skills! Conducting thorough research, analyzing relevant data, and interpreting information will be key as you contribute to the creation of accurate and comprehensive easement documentation.
REQUIREMENTS:
- Prior Experience: A background as real estate paralegal, records clerk, real estate legal assistant, real estate transaction coordinator, real estate closing coordinator, real estate compliance specialist, real estate contract administrator, escrow officer, real estate documentation specialist, land use paralegal, real estate litigation paralegal, title coordinator, title clerk.
- Education: Bachelor’s degree in business, legal or similar, Associates Degree, Paralegal Certificate or similar or equivalent work experience.
- Technical Skills: Being a wizard with Microsoft Office 365 (Word, Excel, Teams, and Outlook) is a must. Experience with Adobe Pro for document editing and manipulation is a big plus in addition to familiarity with Google Earth.
- Remote Setup: To ensure seamless remote work, you’ll need to set up a dedicated home office or workspace with a computer with Office 365 and Acrobat Pro installed, printer, cell phone, stable internet access with webcam, headset, microphone, and scanner or document imaging capabilities. While we’re here to support you, it’s your responsibility to provide these essentials.

The Right of Way Agent handles right-of-way property acquisitions/dispositions, landowner notifications, construction monitoring, and payments for damages as they relate to communications including FTTH, utilities projects, renewable energy jobs, railroad jobs, or governmental acquisitions/dispositions.
REPORTS TO: Project Manager and/or Project Supervisor.
KEY RESPONSIBILITY AREAS:
- Contacts landowner(s) to acquire the desired property(ies) either by easement or fee.
- Maintain effective field reports with landowners in a timely fashion.
- Maintain and organize workload to consistently meet project completion dates and timelines.
- Maintain communication with management to ensure workload is completed in a timely manner.
- Maintain open, positive, clear, and regular communication with the management and the client.
- Data organization for production using spreadsheets (MS Excel)
- Resolve landowner question/concerns with clients and management.
- Update project files, databases, and spreadsheets.
- Alternative contact to landowner as needed (skip tracing).
- Develop landowner correspondence as needed (emails).
- Assist with quality control processes for the delivery of the final product.
- Assists in other project functions where necessary including development of landowner and permitting authority geographical line lists.
- Obtain required title documentation up to 40-year (or more) title searches in accordance with the project schedules and client guidelines, including title commitments, plat maps, tax records and legal descriptions.
QUALIFICATIONS:
EDUCATION:
- High school diploma required. Undergraduate degree or real estate license strongly preferred. Additional coursework in land use and acquisition preferred through IR/WA or other training determined suitable by Linderlake Corporation.
EXPERIENCE:
- Minimum – one year, right of way, title or site acquisition, as it relates to natural gas and petroleum pipeline, electrical transmission line, telecommunications facility, renewable energy, DOT, EPA, or railroad activities.
SPECIFIC SKILLS:
- Strong written and verbal communication skills; familiarity with title, real estate documents and legal descriptions, as well as interpretation of land appraisals and engineering plans.
